Use Winningtemp with Slack

Winningtemp for Slack brings surveys and reminders to employees right where they already work. System Administrators can configure Winningtemp to post notifications in one or several Slack channels or as direct messages, so all employees know when a new survey is available. The message says "There are new questions to answer," and clicking the link opens the questions in your web browser. The app only sends messages and never reads your channels, conversations or files.

You can read how Winningtemp handles Slack data under Privacy and data at the bottom of this article.

Setting up this integration requires you to be a Slack Administrator and a System Administrator in Winningtemp.

 Send surveys to a channel

  1. Select Administration in the side menu
  2. Click System & templates
  3. Click Apps
  4. Click Slack
  5. Click Add to Slack and select the Slack channel(s) that you prefer for the Winningtemp notifications.

Good to know

  • The integration will become inactive if the user who initially set it up is no longer a System Administrator for Winningtemp or Slack. In such a scenario, you'll need to reconfigure the integration. If you need more help invalidating the previous authentication keys, please don't hesitate to contact Winningtemp support or your Customer Success Manager.

  • If your organisation uses Multiple surveys, a notification for each survey will be visible in Slack, and the link will only be active if you receive that survey.

Send surveys as direct messages to all your employees. (coming soon)

As a System Administrator, you can send surveys and reminders to every employee as a personal direct message in Slack. Nobody has to set anything up, so you reach everyone right where they already work.

  1. Select Administration in the side menu.
  2. Click System & templates.
  3. Click Apps, then click Slack.
  4. If Slack isn't connected yet, click Add to Slack and approve the permissions.
  5. Under Survey delivery via Slack, tick Deliver surveys as Slack direct messages to all employees and save.

Winningtemp then reads the member list of your Slack workspace and matches members to employees by email address. The page shows how many employees it matched.

The setting applies to every matched employee, so individual employees can't opt out. Employees without a matching Slack member keep receiving their surveys by email. Click Export to Excel to see who they are.

You don't need to update anything manually when someone is added to Winningtemp or Slack. Before each new mailing, Winningtemp looks in Slack for employees who don't have a match yet, and anyone it finds gets their surveys as direct messages from then on. Want to match right away? Click Update Slack members.

If the page says the Slack app needs more permissions, click Add to Slack again.

Important!

Clicking Disconnect removes the Slack connection. Channel notifications and survey direct messages stop, and Winningtemp deletes all matches between employees and Slack members.

Privacy and data

Winningtemp for Slack processes data on behalf of your organisation, which is the data controller. The Winningtemp for Slack Addendum and the Winningtemp data processing agreement govern this processing.

What Winningtemp collects

  • The workspace ID and name.
  • The bot token.
  • The IDs of the channels you choose for notifications.
  • The Slack user ID of each member who matches an employee in your Winningtemp account.
  • The token and Slack user ID of each employee who connects to Slack from their own profile.

Winningtemp reads email addresses from Slack only to match members to employees, and never stores them. It discards members who don't match immediately. The app never reads messages, channels or files.

Where data is stored

Winningtemp stores the data on Amazon Web Services in Europe and encrypts the Slack tokens while they're stored.

Retention and deletion

Winningtemp keeps the data while your workspace is connected. A System Administrator can delete it at any time by clicking Disconnect in Winningtemp, and Winningtemp removes personal connections on request.

Winningtemp erases all Slack data when your organisation's agreement ends. Employees can request deletion through their employer, and Winningtemp completes the deletion within 90 days.

For employees

Good to know: employees can connect to Slack on their own, without your help, and get a message when there are new questions to answer. They do it in their profile. If you’d like to point them to it, share Use Winningtemp with Slack (for employees).
