Exclude users from surveys

Note: This step only applies when using multiple surveys. The exclusion logic applies to both Pulse and Periodic surveys.


How does it work?

When you set up a specific survey for a part of the organisation, you can exclude the recipients from other standard surveys. Thus, they will only receive one survey—the specific one.

The logic can, however, vary a bit depending on the complexity of the organisation; let's take a look at two examples:

 

Example 1 - Multiple surveys (see image below)

  • Acme Inc. uses one general survey to add the entire company as recipients.
  • The Aberdeen department uses its specific survey ("Exclude recipients from any other... surveys" is on)
  • The Inbound department uses its specific survey ("Exclude recipients from any other ... surveys" is on)

Martin, a user in both the Aberdeen and the Inbound team, will, therefore, receive surveys from both departments. However, Martin is excluded from the general survey going out to the entire company.

Summary: Users can receive multiple surveys depending on the organisational structure and the number of surveys.

Example 2 - subteams (see image above)

    • Acme Inc uses one general survey to add the entire company as recipients.
    • The UK department uses its specific survey ("Exclude recipients from any other... surveys" is on)

In this example, the Cardiff team is a subteam of the UK team, so users in Cardiff will receive the UK team's specific survey, not the general survey. This way, we ensure users receive the most relevant survey based on their location within the organisational structure. Subteams are also visualised with grey ticks next to them in the recipient's step.

Summary: subteams are included in parent surveys. 
 

Which surveys are the selected users excluded from?  

Click on "X ... surveys" to see which surveys the users in this survey are excluded from.

 

How are the recipients removed from other surveys?

Again, let's take a look at an example. You have one survey for Acme Inc., which includes everyone in the organisation. If you create a new survey for users in the Regional department, those users are now excluded as recipients under step 3 in the first survey (Acme Inc).
