Preparations
When you activate the AI Conversation, a little preparation goes a long way. Here's what we recommend:
You have access to up to 3 teams in the free tier (for example: your HR team and 1–2 Manager teams).Â
Start with teams that are already actively working with engagement insights.
Choose question categories aligned with your current HR or leadership priorities.
Inform managers in advance of the AI Conversations' purpose to ensure strong participation and follow-up. Read more: AI Conversation: Manager guide

- Select which teams should have access to AI Conversation (up to 3 teams are available in the free tier).
- Select a question category. The chosen category applies to all selected teams. The following categories are available in the pilot (more options coming soon): Leadership, Job satisfaction, and Work situation.
- After activation, managers and HR leaders responsible for the selected teams can create AI Conversation surveys. See step 2 to learn how to send one.

🔒 How we protect your anonymity
Team members participate in an AI-guided conversation, and all replies remain completely anonymous. The AI is designed to remove any personal, identifying, or concrete details before the text is processed. Read more about the AI: AI-powered features in Winningtemp.
All input is then aggregated, so no individual responses can ever be viewed. The default anonymity threshold is 5 respondents, meaning a summary is generated only when at least 5 unique team members have participated.
This protects your anonymity and ensures that insights can never be traced back to individuals.Â

Functionality & Setup
Is there a minimum of 5 employees required in the team?
AI Conversation has an anonymity threshold of at least five employees to generate insights. This ensures that individual responses cannot be traced back to a specific person. If your team has fewer than 5, you can still send out the conversation, but the Insights report won't be generated until the threshold is met.
Who has access to AI Conversation after activating the feature?
As a system administrator, you activate the feature at team level and choose which teams get access and in what order. The following roles can create AI Conversation surveys (for activated teams): System Administrator, Support, HR Leader, and Manager. The free tier includes up to 3 teams.
Do you create a new survey, or can you add it to an existing one?
You create a new survey. AI Conversation is a separate survey type that runs alongside your existing Pulse or Focus surveys. Think of it as an additional layer of data on top of your regular send-out frequency, let the temperatures show you what you need to understand on a deeper level. Going forward, the product may suggest when it's time to start an AI Conversation.
Will all question categories be available?
All our standard categories and supplemental categories will be available, plus a couple of bonuses that will be released in upcoming iterations.
Is it possible to run a survey on a segment rather than a team?
Yes, this will be possible and will be released in upcoming product releases.
Can the report be shared or saved?
Yes, this will be possible and will be released in upcoming product releases.
Anonymity & Transparency
Do we need to inform our employees that the survey is driven by AI?
That's up to you, but we recommend informing employees in advance. AI Conversation differs from regular surveys with its chat format, and clear communication about purpose and anonymity increases trust and response rates. Contact your Customer Success Manager for guidance and supporting materials.
AI & Data
Is your AI trained on customer data?
No. Our AI is not trained on customer data. Your conversations and insights are never used to train the model.
Does the AI summary take into account comments left in Pulse surveys?
No, AI Conversation does not currently take into account responses or comments from outside the chat. Each AI Conversation is standalone, and no history from other surveys is used.
Are there plans to expand the analysis of Winningtemp data (gender, age, tenure, team membership)?
Yes, we plan to continue improving the analytics capabilities in Winningtemp. A lot is happening this year, including initiatives to develop benchmarks for different teams. Currently, the easiest overview of demographic analysis is through your heatmap.

How does the feedback loop work?
The feedback loop is the ongoing cycle of listening, understanding, acting, and following up, and it's how employee insights become real change. Here's how it works in practice:
- Employees share their experiences through AI Conversation.
- The manager receives the Insights report with themes, patterns, and recommended actions.
- The manager shares the report with the team, starting with what's working, then picking one thing to test.
- The team sees that their input led to concrete action.
- Trust and response rates increase, because employees experience that their voice actually matters.

What trigger is most valuable for initiating an AI Conversation?
A downward trend is a valuable starting point, especially to act quickly and understand what's behind it. But it's also very powerful to send out AI Conversation for teams that are stable or positive, as you often uncover additional improvement areas that don't show up in the scores.
AI Conversation and in-person temperature meetings, how should they be used together?
They complement each other. AI Conversation gives the manager a better foundation for team discussions and temperature meetings. Instead of guessing what's behind the scores, the manager has an Insights report with concrete themes and suggestions to work from. It makes the temperature meeting more focused and action-oriented.
How is AI Conversation different from our regular pulse survey?
The pulse survey gives you the score, that something is happening. AI Conversation gives you the story behind the score, the context, why it's happening, and what you can do about it.
How do I know the AI insights are accurate?
The report is based on patterns across multiple conversations. It identifies themes mentioned by 2 or more people with detailed examples. It's transparent about its basis and limitations. The employee also confirms a summary at the end of the conversation, ensuring the information is accurate before it's aggregated.

How long does the conversation take?
The median is about 12 minutes. The employee can do it at their own pace, no time pressure.
What languages are supported?
The starting point is your question language. After that, the employee can switch to virtually any language, the AI adapts automatically.
Can I customise the questions?
The AI generates follow-up questions dynamically based on what the employee shares. You choose the question category, for example Leadership, Job Satisfaction, or Work Situation, and the AI handles the rest. The questions are not predefined, they adapt in real time.
Can we still use AI Conversation if we already have our own custom categories and questions?
Yes, that works without any issues. AI Conversation runs on its own science-backed question categories independently of any custom categories you may have. Keep in mind that future links between datasets may be limited.
What effect does the team description have on the conversation?
The team description makes the AI a better listener, not a different interviewer. The conversation flow is driven by the framework and the employee's answers. The team description ensures the AI doesn't sound out of context when the employee references real things about their team, like a reorganisation or working across different offices.
Is there a limit to how long the conversation can be?
Yes, each conversation has a limit of 50 messages, for example 25 from the employee and 25 from the AI. This is more than enough for a complete conversation including all questions and the closing summary.
Where is the data stored?
Data is stored on AWS, within the EU. No customer data is shared with external models.
Can anyone see my chat history?
No. Conversations are aggregated at team level. No one other than the employee themselves sees the individual conversation. A future feature we're evaluating is allowing employees to view their own past conversations.

What is the free tier?
The free tier lets you try AI Conversation with up to 3 teams, and is available on all Winningtemp plans. Each time a survey is sent to a team, that team takes up one of your three pilot spots.
Is AI Conversation included in the platform or is it an add-on?
AI Conversation is an add-on. All customers can use it for free for up to 3 teams with full functionality. For a broader rollout, a paid license applies.
How much does AI Conversation cost?
The price depends on factors such as your plan and number of licenses. Contact your Customer Success Manager to get a quote tailored to your organisation.
How does the pricing model work?
AI Conversation is currently free for up to 3 teams. These teams can run multiple conversations with full functionality. When you want to move to a full rollout, all teams in the organisation can run AI Conversation. Contact your Customer Success Manager to discuss the options.

When will this be available?
AI Conversation is available today. You can activate it directly in Administration System & Templates AI Conversation. We continue to develop and add more question categories on an ongoing basis.
